How-to: Accept Electronic Payments

Studies show that clients prefer paying with credit cards, and the most convenient way to do so is often online. But firms that are used to sending paper bills each month are also used to accepting paper checks in return. However, getting started accepting electronic payments is not difficult or expensive.

Choose an ePayment partner

In order to accept credit and debit cards, you’ll first need to register with a payment processor. The payment process will handle all of the processing and merchant services related to accepting electronic payments, so you can focus on your client work. CCH Axcess partners with CPACharge, an AffiniPay solution, and Braintree, a PayPal service, with built-in epayment options in CCH Axcess Practice.

Set up billing & invoicing

Epayments are most convenient if the payments automatically feed in to your billing and AR system. If you have CCH Axcess Practice and Portal, you already have access to this built-in feature. All you need to do is activate it. In your Firm Settings, just select which payment processor you are using, and fill in your merchant account details to link the accounts. You can even add your firm’s logo to customize your epayment interface with your firm’s branding.

Deliver the invoice

E-payments are collected via CCH Axcess Portal, so you’ll need to set up your invoices to publish to the client’s portal. If you use CCH Axcess Document, you’ll publish the invoice to Portal at the same time you send it to Document. If you use the standalone version of Portal, you’ll send invoices directly to Portal. Either way, you can choose which clients will receive invoices via Portal in the Client Manager

Client experience considerations

Most clients will access their invoices through CCH Client Axcess. This user-friendly interface doesn’t require any special plug-ins to use, and provides a secure area for client collaboration. By accessing the invoice through the portal, clients will see a “Pay Now” button on the invoice. From there, step-by-step instructions will walk them through the process.

For the best results, your firm should make it easy for clients to find their invoices by adding a link to CCH Client Axcess on your web page. The more you use the portal to communicate and collaborate, the quicker it will become second nature to your clients.
