Prepare for tax season with these 6 firm management tips

Tax season is a make-or-break time for many firms. Firms that want to optimize their performance will do everything they can to prepare for tax season so they’re ready when the busy season hits. Your firm management software often runs seamlessly in the background of your firm, but now is the time to make sure it’s set up for maximum success. Here are a few things you can do now to prepare.

Evaluate your Dashboard

The CCH Axcess dashboard allows you to configure the information you want to see when you log in. Your dashboard can have multiple pages, and you can control which panes display on each page. We periodically add new content for the dashboard panes. Evaluating your dashboard can uncover new and useful information that you might not have been aware of.

Review staff time transactions

Missing or incorrect time entries can affect the firm’s bottom line and even damage your credibility. Make sure all time transactions are released and posted. Review staff time and expense transactions to ensure billing totals are correct. You can use filters to view unreleased, released or posted transactions. In addition, you can correct or delete any incorrect WIP if needed.

Consider paperless invoices

If your firm is still sending invoices through the mail, now is the time to consider switching to paperless. Publishing invoices electronically can not only reduce expenses related to printing and mailing hard copies, but also can result in faster payment. You can configure CCH Axcess Practice to email invoices. Or for the most security and efficiency, publish them to your clients’ portals.

Analyze KPIs and set goals

Review your firm’s performance and set benchmarks and goals for next year. Reports can identify high-maintenance clients that aren’t profitable for your firm. You might also identify staff members that need additional training before busy season. As you prepare for tax season, consult the list of available reports in CCH Axcess to see if there are additional KPIs that you might not have thought of.

Create client mailing lists

Many firms send holiday greetings, year-end reminders and other kinds of mass communication to their clients. If your firm does this, don’t forget that you can now create and manage mailing lists in CCH Axcess Practice. In addition, you can export a list of email addresses for use with your firm’s email marketing software, or print address labels to use for postcards or mailers.

Refresher training

If you have new staff to train or temporary staff to refresh, end-user training can help educate them about how to use basic features like working with clocks, posting transactions and customizing the dashboard. Biller training can help staff learn how to bill and work with invoices. The Wolters Kluwer Professional and Client Services team is available for hourly consulting engagements to help your firm solve any concerns.
